<p> Job Responsibilities</p><ul><li><p>Coordinate the physical office resources management of the Hong Kong headquarters and the mainland business unit, establish a cross-border multi-time zone collaborative administrative response mechanism, and ensure efficient allocation of office resources between the two places. </p></li><li><p>Responsible for office environment maintenance, fixed asset procurement and full life cycle management, optimizing the shared office model for agent teams.</p></li><li><p>Develop travel standards and optimize cross-border travel processes (such as Shenzhen-Hong Kong high-speed rail commuting scheme), design lightweight office solutions (such as virtual work station system, mobile office equipment allocation) to cope with Hong Kong's high rental environment.</p></li><li><p>Manage shared office space utilization to ensure maximum resource utilization.</p></li><li><p>Lead the NGP project team to implement a safety and compliance system, ensuring that data security management complies with the Hong Kong Personal Data (Privacy) Ordinance (PDPO).</p></li><li><p>Establish office emergency response procedures (such as fire, typhoon, etc. Emergency Disposal Plan), regular compliance training and drills, and enhance team safety awareness.</p></li><li><p>Set up a cross-border agent team logistics support system, standardize the display business tool kit configuration (cross-border communication equipment, electronic insurance policy demonstration terminal, etc.).</p></li><li><p></p></li><li><p></p></li><li><p></p></li><li><p></p></li><li><p></p></li><li><p></p></li><li><p>Deploy administrative process automation system (conference room reservation/material application online), optimize agent support demand work order system (Chinese and English dual language work order classification processing mechanism).</p></li><li><p></p></li><li><p>Manage the full life cycle of NGP local employees (from signing a Hong Kong employment contract to closing an MPF account), maintain a cross-border scheduling system (coordinate Hong Kong public holidays with mainland China's adjustment of leave).</p></li></ul><p><br>Work requirements<br></p><ul><li><p>Have good communication and coordination skills, and be able to effectively promote cross-departmental collaboration, especially in a cross-border, time zone environment. </p></li><li><p>Familiar with administrative management, office resource planning and asset management processes, those with relevant project experience are preferred.</p></li><li><p>Understand data security and compliance management requirements, especially with regard to the Hong Kong Personal Data (Privacy) Ordinance (PDPO).</p></li><li><p>Have strong problem-solving skills, be able to quickly respond and handle emergencies, and ensure a stable office environment. </p></li><li><p>Proficient in office automation tools and systems, those who have experience in deploying administrative process digitalization are preferred.</p></li><li><p>Have budget management and financial basic skills, familiar with cross-border salary, taxation, reimbursement process, etc. Candidates with such skills are preferred.</p></li><li><p>Have a high sense of responsibility and execution ability, be able to maintain high efficiency in a high-pressure environment and achieve key performance indicators.</p></li><li><p>Have good learning abilities, and be able to adapt to constantly changing business needs and policy environments.</p></li><li><p>Fluent in Chinese and English, able to handle bilingual work document writing and communication.</p></li></ul>
