Insurance Secretary (Insurance Secretary / Team Administrative Secretary)

2. Job Responsibilities

• Provide comprehensive secretarial and administrative support, including communication and coordination with internal and external departments of the company.

• Process insurance business back-office work, such as policy application file sorting, signature process follow-up, policy change, renewal reminder and customer data update.

• Follow up on customer pre-sales and post-sales general administrative inquiries and document exchanges (not involving sales advice).

• Assist the team with daily operations, including scheduling meetings, business appointments, business trips, meeting minutes, and office daily management.

• Support team recruitment and onboarding of new employees, such as following up on applications, scheduling interviews, handling onboarding documents and training arrangements.

• Responsible for general administrative work, data input, file management, and basic market promotion support (such as preparing promotional materials).

• Complete other administrative and temporary tasks assigned by the supervisor to ensure the team runs efficiently.

3. Position requirements

• Advanced Diploma/Associate Degree or above (with preference for relevant administrative/business/insurance/finance subjects)

• More than 1 year of administrative / secretarial / customer service experience; those with insurance industry or AIA / Prudential etc. company experience are preferred.

• Good Cantonese, Mandarin and English reading and writing skills (daily communication and document processing required).

• Proficient in Microsoft Office (Word, Excel, PowerPoint), with Chinese and English input and basic computer skills.

• Careful, serious, and responsible, with good time management and multitasking skills, able to work independently under pressure.

• Actively and positively, self-motivated, with good interpersonal communication and team spirit.

• Welcome applicants with customer service, hotel administration or sales support background; those with no relevant experience but willing to learn are also welcome, providing on-the-job training.

• Hold a valid Hong Kong identity card, and prefer immediate or short-term employment.
