Office Assistant

Job Responsibilities

  • Responsible for daily administrative support work, including file sorting, data input, telephone answering and email processing, ensuring office operations are smooth and efficient.

  • Assist in arranging meetings and activities, including venue reservation, meeting materials preparation, participant contact and follow-up after the meeting.

  • Manage office supplies inventory, purchase and distribute according to demand, and regularly update the item list to control administrative expenses.

  • Handle basic personnel and financial related administrative procedures, such as employee onboarding/offboarding document processing, reimbursement voucher preliminary review and submission, etc.

  • Support the team's needs by flexibly assisting other temporary tasks, including customer reception, document archiving, translation assistance (Chinese and English) and simple Mandarin communication support.

Work requirements

  • Have good writing and speaking skills in Chinese and English, be able to handle bilingual documents and daily conversations fluently; Mandarin communication skills are the basic requirement.

  • Familiar with the Microsoft Office series of software (Word, Excel, PowerPoint, Outlook), with basic data processing and presentation slide creation abilities.

  • Careful and responsible, clear and orderly, with the ability to handle multiple tasks independently, and able to accurately complete work within the specified time limit.

  • Must hold a valid work permit in Hong Kong, including but not limited to Hong Kong permanent residency, Talent Immigration Scheme, Quality Immigration Scheme, IANG, Dependent visa or other valid work permit.
