Our Client, a professional Legal firm in Central.

About this Role:

An Office Manager is responsible for the smooth and efficient daily operations of the office, ensuring that all administrative and support functions are handled effectively and in accordance with the firm's policies and procedures. They manage a wide range of tasks, including facilities management, procurement, vendor relationships, and staff supervision.

Key Responsibilities:

  • Overseeing Daily Operations: Ensuring the office runs smoothly, managing day-to-day tasks, and addressing any issues that arise.
  • Facilities Management: Managing repairs and maintenance, office cleaning, safety and security, and related services.
  • Procurement and Vendor Management: Handling procurement of office supplies, equipment, and services, and managing relationships with vendors.
  • Financial Management: Managing the office budget, processing invoices, and handling petty cash.
  • Staff Management and Supervision: Supervising administrative staff, providing guidance, and managing performance.
  • Compliance and Policy Implementation: Ensuring compliance with relevant regulations and implementing office policies and procedures.
  • Event Planning: Organizing and coordinating firm events and functions.
  • Record Keeping: Managing records, files, and document storage.
  • Travel Management: Handling travel arrangements for staff.
  • Front Desk Management: Overseeing the front desk area and reception services.

Skills and Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Strong organisational and time management skills: The ability to manage multiple tasks and priorities effectively is crucial.
  • Excellent communication and interpersonal skills: Effective communication with staff, vendors, and clients is essential.
  • Problem-solving skills: The ability to identify and resolve issues quickly and efficiently.
  • Proficiency in relevant software and technologies: Familiarity with MS Office Suite and other office management systems.
  • Experience in a legal or professional services environment is preferred.
  • Supervisory experience: The ability to manage and motivate a team of administrative staff.
