Job Description

About the Role:

We are seeking a reliable and detail‑oriented Junior Administrator to support our Legal and Finance departments. This role is ideal for a candidate who is organised, proactive, and interested in gaining hands‑on exposure to corporate administration, compliance, and financial operations within a Hong Kong business environment.

You will play a key role in ensuring smooth administrative support for both functions, including documentation, compliance filings, and internal coordination.

Key Responsibilities:

Legal & Compliance Support

  • Assist in maintaining corporate records, contracts, and legal documentation.

  • Support company secretarial matters, including statutory filings and record keeping.

  • Coordinate with external legal advisors and company secretary when required.

  • Track contract timelines, renewals, and compliance deadlines.

  • Ensure proper filing and organisation of legal documents.

Finance & Administrative Support

  • Assist in handling basic accounting administration such as invoice processing, payment records, and expense documentation.

  • Support finance team in preparing reports, schedules, and reconciliations.

  • Maintain proper documentation for audit and internal control purposes.

  • Assist in procurement administration and vendor coordination.

General Administrative Duties

  • Maintain accurate filing systems (both electronic and physical).

  • Coordinate with internal departments to collect and verify information.

  • Handle ad‑hoc administrative tasks assigned by Legal and Finance teams.

Requirements:

  • Diploma or Bachelor’s degree in Business Administration, Finance, Law, or related discipline.

  • 0-3 years of relevant administrative experience; fresh graduates are welcome to apply.

  • Strong attention to detail and high level of accuracy.

  • Good organisational and time‑management skills.

  • Able to work independently and collaboratively within a team.

  • Basic understanding of legal/compliance or accounting processes is an advantage.

  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).

  • Good command of written and spoken English and Chinese.

  • Good communication skills with the ability to collaborate across departments.

  • Responsible, proactive, and willing to learn.

Preferred Qualifications (Nice to Have):

  • Prior experience in a Hong Kong‑based SME is an advantage.

  • Exposure to company secretarial work or statutory compliance in Hong Kong.

  • Experience supporting legal, finance or accounting teams.

Entry Requirements:

  • Holding a diploma or bachelor’s degree in business management, finance, law or related sciences.

  • 0-3 years of relevant administrative experience; fresh graduates are welcome to apply.

  • Careful and highly accurate.

  • Have good organizational skills and time management techniques.

  • Able to work independently and have a team spirit.

  • Applicants with basic legal/compliance or accounting process knowledge are preferred.

  • Familiar with Microsoft Office (Excel, Word, PowerPoint).

  • Good writing and speaking skills in Chinese and English.

  • Good communication skills, able to collaborate with different departments.

  • Responsibility, proactivity, and a willingness to learn.

Prioritization (non-essential)

  • Preference will be given to those who have worked in Hong Kong's small and medium-sized enterprises (SMEs).

  • With company secretary or Hong Kong regulatory compliance experience.

  • Have experience in supporting legal, financial or accounting teams.

  • Familiar with file management systems or ERP/accounting software.
