<p><strong>Position Summary</strong></p><p>We are seeking a highly organized and detail-oriented Project Administrator to provide crucial support to our project management team. In this role, you will be the operational backbone of our projects, responsible for maintaining documentation, facilitating communication, tracking schedules and budgets, and ensuring the smooth execution of project activities. The ideal candidate is a proactive problem-solver with excellent communication skills who thrives in a fast-paced, collaborative environment.</p><p></p><p><strong>Key Responsibilities</strong></p><p></p><p><strong>Project Documentation & Reporting:</strong></p><ul><li>Create, format, update, and maintain all project documentation, including project charters, plans, status reports, and meeting minutes.</li><li>Manage the project's central repository (e.g., SharePoint, Google Drive) for all documents, ensuring version control and easy access for team members.</li><li>Prepare and distribute regular project status reports and dashboards for the Project Manager and stakeholders.</li><li>Track key project metrics and KPIs, such as milestone progress and budget adherence.</li></ul><p><strong>Communication & Coordination:</strong></p><ul><li>Schedule project meetings, workshops, and reviews; manage calendars and send invites.</li><li>Prepare meeting agendas, record detailed minutes, and track action items to completion.</li><li>Serve as a central point of contact for project-related queries from team members and stakeholders.</li><li>Facilitate clear and timely communication within the project team and with external vendors.</li></ul><p><strong>Financial & Resource Support:</strong></p><ul><li>Assist in the preparation and maintenance of project budgets.</li><li>Process purchase orders, invoices, and expense reports, tracking them against the project budget.</li><li>Coordinate with the finance department to ensure accurate financial reporting.</li></ul><p><strong>Required Qualifications & Skills</strong></p><ul><li>Associate's or Bachelor's degree in Business Administration, Management, or a related field.</li><li>Proven experience (1-3 years) in a project administration, coordinator, or similar support role.</li><li>High proficiency in the Microsoft Office Suite (especially Word, Excel, and PowerPoint).</li><li>Experience with project management software (e.g., Asana, Trello, Jira, MS Project, Smartsheet).</li><li>Exceptional organizational and time-management skills, with the ability to prioritize multiple tasks effectively.</li><li>Meticulous attention to detail and a commitment to accuracy.</li><li>Strong written and verbal communication skills.</li><li>Ability to work effectively both independently and as part of a team.</li></ul>
