Job Description

Responsibilities:

Front Desk and Administrative Support:

  • Greet and receive visitors professionally, manage office access, and follow security procedures;
  • Handle incoming calls and general inquiries in a prompt and courteous manner;
  • Maintain the cleanliness and organization of the reception area, conference rooms, and executive offices, ensuring they are fully stocked with necessary supplies.

Mail, Courier, and Document Management

  • Receive, sort, and distribute incoming/outgoing mail and courier items;
  • Process and record office bills and payments, and manage petty cash and payment requisitions.
  • Meeting and Facility Coordination
  • Manage meeting room bookings and upkeep, and provide meal and beverage service for meetings as needed.
  • Assist in coordinating office renovations, server relocations, and related projects.

Procurement and Office Maintenance

  • Procure stationery and office supplies, manage inventory levels, and submit monthly stock and expense reports;
  • Oversee maintenance and repairs of office equipment, and supervise office cleaning activities.

General Administrative and Clerical Support

  • Arrange travel bookings and company events or social activities.
  • Provide clerical and administrative support, including assistance with outdoor assignments

Other Tasks:

  • Handle other ad-hoc duties as assigned.

Requirements:

  • Higher diploma or above with at least 3 years' working experience;
  • Good command of English and Mandarin;
  • Proactive, organized, work independently with problem-solving skills;
  • Well-organized with strong attention to detail;
  • Familiar with MS Office and Chinese word-processing.
