Job Description

Position: Part-Time Administrative and Operations Officer

Working Hours: 3 days per week, 10:00 AM – 7:00 PM (includes 1-hour meal break)

Work Location: San Po Kong Head Office and various branches (travel to different locations as required)

Position Overview

We are looking for a highly detail-oriented, responsible, and multi-tasking part-time Administrative and Operations Specialist. You will be a key player in ensuring smooth daily office operations, organized document management, and seamless operational support across branches. This role requires autonomy, attention to detail, and flexibility to adapt to different work locations and tasks.

Core Responsibilities

1. Office Administration

  • Handle daily administrative tasks, including phone calls, mail processing, and visitor reception.

  • Perform data entry, document processing, and formatting to ensure accuracy.

  • Schedule meetings, book venues, prepare meeting agendas, and take minutes.

  • Manage internal communication systems and information dissemination.

2. Document & Records Management

  • Establish and maintain physical and electronic filing systems to ensure clear organization and easy retrieval.

  • Manage the sorting, archiving, and updating of contracts, reports, and official correspondence.

  • Conduct regular document reviews and organization in compliance with record management policies.

3. Certificate Issuance & Record Keeping

  • Verify applicant information strictly to ensure the accuracy of all certificates issued.

  • Manage the end-to-end certificate issuance process: printing, verification, stamping, mailing, and archiving.

  • Handle inquiries and reissue requests related to certificates while maintaining complete records.

4. Facilities & Inventory Management

  • Regularly inspect facilities and equipment at the San Po Kong Head Office and all branches.

  • Liaise with external suppliers and technicians for inspections and repairs, and follow up on progress.

  • Monitor inventory levels of office and branch supplies (stationery, cleaning supplies, event materials, etc.).

  • Execute procurement processes: quotation, price comparison, ordering, receiving, and verification.

  • Conduct periodic asset stocktakes to optimize inventory and reduce wastage.

5. Event & Operational Support

  • Assist in organizing internal and member events, including venue setup, material preparation, and coordination.

  • Provide on-site administrative support during events, such as participant registration, material distribution, and handling unexpected issues.

  • Assist in post-event documentation, debrief report writing, and archiving.

6. Cross-Branch Coordination & Support

  • Travel to different branches as needed to implement consistent administrative and operational standards.

  • Assist branches in resolving daily operational and logistical issues.

  • Ensure smooth information flow and material transfer between the head office and branches.

Requirements

Education: Higher diploma or above; relevant administrative or operational experience preferred.

Experience: At least 1 year of relevant administrative, clerical, or operational support experience.

Skills:

  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and basic office equipment.

  • Good written and spoken Chinese; basic English communication skills.

  • Meticulous, organized, with strong document processing and data entry abilities.

Personal Attributes:

  • Proactive, able to work independently and complete tasks on time.

  • Strong communication skills and a team player.

  • Flexible and adaptable to different work environments, capable of handling multiple tasks.
