Job Summary
We are seeking a highly capable and versatile Executive Assistant to provide comprehensive support to our President across Hong Kong and Shenzhen operations. This role is ideal for a proactive professional with a background in finance, legal, or business administration, who can handle executive support while managing key financial and legal coordination tasks in our lean organizational structure. As we operate in global markets, you will play a critical role in ensuring smooth operations and effective communication across cultures and regions.
Key Responsibilities
1. Executive Support & Strategic Coordination
Manage the President’s complex schedule, including international meetings, investor calls, and cross-border engagements, ensuring optimal time management.
Act as the primary liaison between the President and internal/external stakeholders, handling communications with professionalism and discretion.
Prepare and edit presentations, reports, and briefing documents for executive meetings and strategic discussions.
Assist in special projects and initiatives, tracking progress and ensuring deadlines are met.
2. Financial Coordination (In-House)
Oversee basic bookkeeping , expense tracking, and reimbursement processes.
Assist in budget preparation and financial reporting, working closely with external accountants as needed.
Monitor vendor contracts, invoices, and payments, ensuring compliance and timely processing.
3. Legal & Compliance Support (In-House)
Assist with contract drafting, review, and filing, coordinating with external legal counsel when necessary.
Maintain an organized document management system for legal, financial, and corporate records.
Ensure compliance with local regulations in Hong Kong and Shenzhen (e.g., tax filings, business licenses).
4. Operations & Administrative Leadership
Streamline office operations across Hong Kong and Shenzhen, ensuring smooth day-to-day functioning.
Organize executive travel arrangements, including flights, accommodations, and itineraries.
Manage company events, offsites, and team meetings, handling logistics and follow-ups.
Requirements & Qualifications
1. Education & Experience
Bachelor’s degree in Finance, Business Administration, Legal Studies, or a related field.
5+ years of experience as an Executive Assistant, Business Manager, or similar role, preferably in tech, startups, or international firms.
Experience in handling financial and legal tasks (e.g., bookkeeping, contract management) in the absence of dedicated departments.
2. Core Skills
Exceptional organizational and multitasking abilities, with a keen eye for detail.
Strong financial acumen (budgeting, expense tracking, basic accounting principles).
Legal familiarity (contracts, compliance, corporate documentation).
Fluency in English and Mandarin (written and spoken) for cross-border communication.
Tech-savvy (proficient in Microsoft Office, WPS, Google Workspace, Zoom, Slack, Lark, WeChat, etc).
